Outdoor events create atmosphere - and variables. Plan for comfort and safety as carefully as you plan the playlist.
Build a weather decision tree
- Who calls delay / move / cancel (host, planner, venue)?
- What time is the decision deadline?
- Where is the backup space (indoor room, tent, alternate date)?
- How will guests be notified?
- What happens to catering counts if you pivot?
Write the tree down. Do not improvise under pressure.
Comfort and safety basics
- Shade, water, and cooling for heat
- Heaters and wind stakes for cold / gusts
- Lighting for dusk ceremonies
- Cable covers and wet-ground traction
- Insect plans for dusk in many US regions
Tents and temporary structures
Tents may trigger fire marshal rules, staking vs weighting decisions, and permit needs. Confirm who supplies and who engineers the install. See permits.
