Choosing Event Venues

The venue sets the tone - and often the rules. Hotels, estates, barns, parks, restaurants, and private homes each bring different logistics, noise limits, and insurance expectations.

What to evaluate beyond the photos

  • Capacity for your guest range (seated vs standing)
  • Inclusive vs a la carte pricing (tables, linens, staffing)
  • Preferred or exclusive vendor lists
  • Load-in paths, elevator access, and parking
  • Noise curfews and neighbor sensitivity
  • Weather exposure (tents, heaters, generators)
  • Insurance language in the contract or banquet event order (BEO)

Insurance requirements from the venue side

Many commercial venues require the host to carry special event liability insurance and to name the venue (and sometimes a management company or landlord) as an additional insured on a certificate of insurance. Typical asks include:

  • Minimum liability limits (often $1M per occurrence)
  • Host liquor liability when alcohol is served
  • COI delivered by a stated deadline before the event
  • Exact legal names for additional insured wording

Contract habits for hosts

  • Highlight insurance, indemnity, damage deposit, and cancellation clauses
  • Confirm ceremony and reception addresses if they differ
  • Ask whether vendors must also provide COIs to the venue
  • Clarify who provides security, bartenders, and overnight storage
