How to Get an Event Insurance Quote
Step-by-step guide to quoting special event liability insurance online with The Event Helper - details to gather, COI tips, and common pitfalls.
How to Get an Event Insurance Quote
Getting a special event liability quote is straightforward when you have the right details on hand. This walkthrough shows what to gather and how to move from quote to venue-ready certificate with The Event Helper.
Step 1: Collect event basics
Have these ready:
- Event type (wedding, party, fundraiser, festival, race, etc.)
- Date(s) and start/end times if asked
- Venue name and full address
- Estimated guest count
- Named insured (person or organization on the contract)
- Contact email for the policy documents
Step 2: Capture venue requirements
From the contract or coordinator email, note:
- Minimum liability limits
- Additional insured legal name
- Host liquor / alcohol requirements
- Due date for the COI
- Any special wording

Step 3: Answer alcohol and activity questions honestly
Underwriting depends on accurate information. Disclose:
- Whether alcohol will be served or sold
- Who is serving (caterer, bartending company, self-serve, etc.)
- Special attractions (bounce houses, animals, fireworks, etc.)
Alcohol deep dive: Host liquor liability.
Step 4: Start the online quote
Go to Get Covered and complete the Event Helper quote flow. Review the premium, limits, and any optional coverages before purchasing. Complex nonprofit, large corporate, or unusual events can talk to our agency.
Step 5: Bind coverage and download your COI
After purchase, download the certificate of insurance and send it to your venue or permit office. Confirm they accepted it. Keep the policy documents with your event files.
Common pitfalls to avoid
- Quoting the wrong venue address
- Using a nickname instead of the legal insured name
- Forgetting a second location (ceremony + reception)
- Waiting until the day before a hard COI deadline
- Omitting alcohol when the bar is clearly on the timeline
How long does it take?
Many straightforward private events can be quoted online quickly. Complex festivals, large concerts, or unusual activities may need more underwriting time - start early.
